Job Description

Roles and Responsibilities of an Operations Manager 

1. Workflow & Process Optimization

  • Streamline operations across departments (creative, media buying, account management, etc.).
  • Implement standard operating procedures (SOPs) to improve efficiency.
  • Ensure deadlines are met for client projects and ad campaigns.
  • Introduce automation tools to enhance productivity.

2. Project Management & Execution

  • Oversee project timelines and ensure deliverables meet quality standards.
  • Coordinate between teams (designers, copywriters, marketers, and clients).
  • Troubleshoot operational issues that may arise during campaign execution.
  • Track key performance metrics and optimize processes accordingly.

3. Resource & Budget Management

  • Allocate resources (people, tools, and technology) effectively for each campaign.
  • Monitor financial aspects, including budgeting, cost control, and expense tracking.
  • Ensure profitability by optimizing operational expenses.

4. Client & Vendor Coordination

  • Manage relationships with external vendors, media partners, and suppliers.
  • Ensure smooth collaboration with clients regarding project execution and timelines.
  • Handle contract negotiations and ensure deliverables are met as per agreements.

5. Performance Monitoring & Reporting

  • Track operational efficiency using KPIs (Key Performance Indicators).
  • Prepare reports on project progress, resource utilization, and financial performance.
  • Provide strategic recommendations to improve agency performance.

6. Compliance & Risk Management

  • Ensure all advertising projects comply with industry regulations and legal requirements.
  • Mitigate risks related to project execution, data security, and client contracts.
  • Develop contingency plans for unforeseen operational challenges.

7. Technology & Innovation Implementation

  • Introduce new technologies (project management tools, CRM software, analytics tools).
  • Improve data-driven decision-making through analytics and reporting.
  • Optimize digital and media buying processes using automation tools.

8. Team Leadership & Cross-Department Coordination

  • Work closely with department heads (Creative, Marketing, Sales, HR) to align goals.
  • Foster collaboration between teams to ensure smooth campaign execution.
  • Mentor and train staff to improve operational skills and efficiency.
