Roles and Responsibilities of an Operations ManagerÂ
1. Workflow & Process Optimization
- Streamline operations across departments (creative, media buying, account management, etc.).
- Implement standard operating procedures (SOPs) to improve efficiency.
- Ensure deadlines are met for client projects and ad campaigns.
- Introduce automation tools to enhance productivity.
2. Project Management & Execution
- Oversee project timelines and ensure deliverables meet quality standards.
- Coordinate between teams (designers, copywriters, marketers, and clients).
- Troubleshoot operational issues that may arise during campaign execution.
- Track key performance metrics and optimize processes accordingly.
3. Resource & Budget Management
- Allocate resources (people, tools, and technology) effectively for each campaign.
- Monitor financial aspects, including budgeting, cost control, and expense tracking.
- Ensure profitability by optimizing operational expenses.
4. Client & Vendor Coordination
- Manage relationships with external vendors, media partners, and suppliers.
- Ensure smooth collaboration with clients regarding project execution and timelines.
- Handle contract negotiations and ensure deliverables are met as per agreements.
5. Performance Monitoring & Reporting
- Track operational efficiency using KPIs (Key Performance Indicators).
- Prepare reports on project progress, resource utilization, and financial performance.
- Provide strategic recommendations to improve agency performance.
6. Compliance & Risk Management
- Ensure all advertising projects comply with industry regulations and legal requirements.
- Mitigate risks related to project execution, data security, and client contracts.
- Develop contingency plans for unforeseen operational challenges.
7. Technology & Innovation Implementation
- Introduce new technologies (project management tools, CRM software, analytics tools).
- Improve data-driven decision-making through analytics and reporting.
- Optimize digital and media buying processes using automation tools.
8. Team Leadership & Cross-Department Coordination
- Work closely with department heads (Creative, Marketing, Sales, HR) to align goals.
- Foster collaboration between teams to ensure smooth campaign execution.
- Mentor and train staff to improve operational skills and efficiency.
